How to schedule a session when everyone is busy
The Talehaven team4 min read
Campaigns rarely die of bad plot. They die because nobody could find an evening that suited five people for six weeks running.
That is a logistics problem, not a motivation problem. And logistics problems have solutions.
Short answer
Do not ask "when can everyone play". Offer two or three specific dates and ask people to mark availability. Set a standing rhythm (say, every other Sunday) and treat the slot as the default rather than something to renegotiate each time.
What actually works
Offer dates instead of asking openly
An open "when can you play" produces a wall of messages where nobody can see the overlap. Two or three concrete options get you an answer in hours.
Set a standing rhythm
A campaign with a default slot ("every other Sunday") asks people to report absence rather than confirm attendance. That flips who carries the effort.
Collect answers in one place
A poll shows the result immediately. A chat thread requires somebody to tally by hand who can make which evening.
Do not require an account from players
Every extra step costs you answers. If marking availability means creating a profile, part of the group simply will not reply.
Agree on a minimum party size
Decide up front how many people are enough to play anyway. A campaign that needs everybody stalls at the first illness.
Back to Alpendorf
Three players work shifts, so an open question about dates ended in a week of silence every time.
Instead: three dates, a request to mark availability, a result the same evening. Sunday won with four votes out of five.
An agreed "we play with four" rule meant the session happened despite one absence.
Common challenges
- Asking "who is free on Thursday" in a chat where half the group reads messages once a day.
- Waiting for a date that suits everyone. With five adults, that date frequently does not exist.
- Agreeing a date without recording it anywhere the whole group can see.
- No reminder. A date agreed three weeks out with no reminder is a date somebody will miss.
Send your party a date poll
Players mark availability through a plain link, even without an account. You see the result in one place.
